Laser Check Printing
As more and more organizations move away from preprinted forms to laser forms generation, one of the most common applications is laser check printing. It’s easy to understand why.
While preprinted forms are always cumbersome, they are particularly so for check printing. Besides the usual problems of keeping up with the preprinted check inventory, loading the proper form and getting it lined up correctly, there is the additional problem of keeping check numbers in sequence if checks have to be reprinted because of a paper jam. Often checks have to be processed a second time through a check signer, adding to the time it takes to do the job.
Laser check printing is much more convenient, saving both time and money. A single blank check stock can be used to print checks on several different accounts, even different banks without changing paper. Since the check form definition is in the software driving the printer, it is a simple matter to choose which account is needed and have the appropriate form printed with the check data. This also means changes, such as a change in banks, can be quickly accommodated without wasting check stock as is so often the case with preprinted forms.
The signature can be printed along with the rest of the check, saving the extra time needed for a separate signing process. Built in decision making by the software can suppress the signature or add a second signature if the check is greater than a specified amount. Low-cost, quiet laser printers can be located in the accounting department where the check printing process is more secure and convenient to those producing the checks. Since there is no setup time, accounts payable checks can be printed as needed to smooth out the work flow rather than waiting to run large batches. Laser checks can be printed for about five cents per check, often a savings of ten cents or more over preprinted checks.

FormSprint prints to HP-compatible (PCL5e) on the network. FormSprint is Check 21-compliant and contains the MICR font necessary for check printing so all that is needed is MICR toner and blank check stock.
FormSprint’s built-in security control permits a properly authorized user to control access to a check form by setting a usage counter, which limits the number of times the form can be accessed, and by setting an expiration date and time, after which access will be denied regardless of the current value of the usage counter. Each time there is an attempt to access a check form, the security control file is checked. If access is allowed, the usage counter is decremented and form processing proceeds. If access is denied, the input spool file will be placed on hold. In all cases, a log entry is made which includes the date and time, the form being checked, the job name and job user profile, the input spool file and the input file user profile, and whether access was granted or denied.
Signatures may be part of the form definition, reside on a SIMM card installed in the printer or on a removable card device external to the printer. Copies can be printed with the checks in collated or decollated sets, pulling from a second paper drawer loaded with plain paper, or sent to another printer on the system automatically. This ability to print copies without having to burst and decollate adds to the time savings of FormSprint laser check printing.
